The best automation tools for an SME: which one to choose?
The best automation tool is one that performs the right actions in your software, remains understandable to the team maintaining it, and keeps your budget at actual volume. Make, Zapier, n8n, Power Automate and Odoo rules respond to different situations. Here's how to decide between them.
Method and date of verification
Documentary comparison written by the Partna team from the official pages consulted on September 25, 2026. The recommendations of choice are our analysis, not a performance ranking resulting from identical tests. Partna markets integration projects and therefore has a commercial interest. Publishers' offers and conditions may change.
The quick choice table
This table is used to establish a short list. An application in a catalog does not guarantee that all the actions you need are available. Check the trigger, readable and editable fields, attachments, and permissions before committing.

Make: a visual scenario between several tools
Make describes its scenarios as sequences that receive, transform and transmit data between applications. Its pricing uses credits; their consumption depends on actions and certain AI functions have specific rules. The packages differ in particular on history, roles and management functions. Source: official Make features and pricing.
Our recommendation: review it for a process that the manager should be able to follow visually, for example a request that creates a contact then a follow-up task. Have rarely used branches tested: they can represent a significant part of the work and cost. A scenario that has become unreadable sometimes deserves to be simplified before adding an AI agent.
Zapier: using actions already available in your applications
Zapier organizes automations around triggers and actions, with an app catalog and features that vary by plan. Consumption is measured in tasks, with rules and exceptions depending on the actions. The handling of an overage also depends on the account settings. Source: official Zapier offers and rules of use.
Our recommendation: retain it in the comparison when your SaaS tools already have the necessary actions. Check for a specific action, like updating a custom CRM field, instead of stopping at the software logo. Then estimate consumption over the entire journey, with reminders and updates, not just on the first action.
n8n: technical workflows and choice of hosting
n8n offers hosted offerings and self-hosted options, including a Community Edition. The paid offers presented are based on the number of workflow executions. The site also documents code steps and API requests, as well as governance and historical differences between offerings. Source: official n8n offers and features.
Our recommendation: evaluate it if your process requires specific integrations and a person or service provider can provide technical monitoring. Self-hosting adds server operation, backups, updates and access management. It does not automatically make processing confidential: a local workflow can still transmit data to an external API.
Power Automate: Examine what your Microsoft environment allows
Power Automate covers cloud flows and desktop flows. Microsoft distinguishes between user-related rights, process-related capabilities, standard or premium connectors, and execution modes. Having Microsoft 365 therefore does not mean that all scenarios are included. Sources: Power Automate overview and Microsoft license types.
Our recommendation: start with this track if the process already lives in the company's Microsoft environment. Before a demonstration, have the licenses of all individuals or capabilities confirmed. If the flow is acting on desktop software, also test the behavior when the session, window, or screen content changes.
Odoo: check the software's automation before adding a layer
The Odoo 19 documentation describes rules that trigger actions based on an event and conditions: updating a record, creating an activity, sending a message or webhook, for example. The available triggers depend on the data model. Source: automation rules, Odoo 19 documentation.
Our recommendation: if the data and action remain in Odoo, first check whether a native rule is sufficient. Confirm the edition, modules and rights available in your contract. A rule that triggers too widely can modify folders that should not be modified: the application filter and testing on a suitable environment are part of the work.
A Zapier task, a Make credit and an n8n execution do not represent the same unit. It would be misleading to only compare the number displayed next to a price. Start by drawing the process, then count what it actually does in each solution with current billing rules.

Example of calculation, not a promise of gain
Assume 200 requests per month and 6 minutes of manual processing each: 20 hours of work. If the automated process leaves 2 minutes of control per request, 6 hours 40 minutes of control remains. The gross gain would be 1:20 p.m.; monitoring and corrections must still be subtracted. These values illustrate the method and do not describe any Partna client.
Three tests before choosing
- 1Functional test: Take representative files, including incomplete requests and duplicates. Check that the result arrives in the right field and in the right folder.
- 2Resume Test: Simulate expired access, an unavailable tool, or a failed step. Define the alert, who is responsible, and how to resume without creating a duplicate.
- 3Transfer test: have the flow explained and restarted by the person who will maintain it. If only the person who created it understands the system, the documentation is insufficient.
When to add AI, and when to keep rules simple?
Moving a file according to its identifier or creating a task after signing is often subject to predictable rules. Understanding a free request or preparing a summary can justify an AI model. Then separate the proposal from the model from the authorized action: a draft can await validation, and an ambiguous response must be able to be taken up. Our guide AI agent or classic automation details this decision.
For a Belgian SME, add to the test set the languages actually used, document formats and business software. The choice of a platform does not replace the examination of the data in transit, their recipients and access rights. Ask for a flow map; it will be more useful than a simple compliance label.
Install alone or have the project accompanied?
A limited and reversible flow can be built internally if someone is responsible for monitoring it. A process shared by several teams deserves more in-depth framing: data, permissions, exceptions and responsibility after commissioning. The number of connected tools is not enough to measure its complexity.
Partna starts with this process, then chooses the components suitable for the scope. To start from a concrete need, consult the internal management, the relaunches and reactivations or our AI architecture. If you are comparing providers, find AI automation agencies in Belgium.
Conclusion
To remember
Choose two plausible options, run the same process and its exceptions in each, then compare the full cost and maintainability. The right tool is one that your team can explain how it works and take control when something changes.
