Partna project · Custom CRM
A CRM built for the daily work of Champions Academy
Partna built the CRM for Champions Academy, a martial arts club in Brussels. The application brings member records, subscriptions, payments and attendance together in a tool tailored to the club’s operations.

The starting point: managing a relationship, not just a contact
In a sports club, a member record needs to connect to a discipline, a subscription and an attendance history. Staff also need to find registrations, check renewal dates and follow trial sessions. The Champions Academy CRM was built around these practical operations.
What the CRM includes
Member records
Member creation and records, search, filters, disciplines and CSV export. Staff can access the information needed for follow-up from the member record.
Subscriptions and payments
A plan catalogue, subscription tracking and payment records. These functions support administrative follow-up; they do not imply fully automated accounting.
Attendance and scanning
A scanning screen and check-in history make it possible to retrieve attendance linked to members. This check remains part of the front desk team’s work.
Registrations and trial sessions
Dedicated registration and trial sections let staff follow these requests in the same working environment as member records.
Access and traceability
The software includes role-based permissions and an audit log. These features do not replace access management, user training or checks on sensitive operations.
Business software with a clear scope
The project includes a desktop application for Mac and Windows. The functions described here correspond to the software built. This presentation contains no member records, payment data or screenshots of real client files.

This project demonstrates Partna’s ability to build a tool around a real business process. No time savings, conversion rate or return on investment are quantified here. The CRM is not presented as an autonomous AI agent: any AI feature requires separate scoping and validation.
Custom CRM or an existing tool: how to decide?
Start by describing the operations: who registers a member, checks a payment, views attendance and corrects an error? Then compare those needs with your current tool’s capabilities. Custom development should address specific constraints, not simply a wish to replace a spreadsheet.
What to define before starting
- The data actually needed and the people authorised to access it.
- Record migration, duplicates and checks before importing.
- Subscription rules, renewal dates and how corrections are handled.
- Team training, backups and software maintenance.
Connect the tool to your team’s work
Partna can scope a business tool, its integrations and related workflows. Training then helps users follow records and check actions. The scope of the CRM, automations and training is agreed before the project.
